Using Odoo for B2B Auto Parts Distribution

Transforming a Standard Website into a Dealer-Only Sales Platform with Odoo

One of the projects we're especially proud of involved implementing Odoo for a client in the automotive spare parts business. Their goal was to build a B2B sales system designed specifically for dealers only.

In this type of business, controlling user access and maintaining accurate inventory are both critical to daily operations. Thanks to Odoo’s flexibility, we were able to config the system to align with the client’s workflow and business model.

Client Requirements
  • A website that only displays products and pricing to authorized dealers (product listings and prices must be hidden from the general public)
  • Multiple dealer groups across different regions, each with their own pricing tiers and discount structures
  • Support for multiple delivery options, including express and standard shipping, with different rates
  • Sometimes the business also sells products at the physical store
  • Dealers must be able to place orders through the website, with visibility only to the pricing relevant to their group
  • Integration with a third-party shipping provider to track and confirm delivery status
  • A system that allows daily stock updates based on inventory data provided by the external warehouse

📂 What We Implemented?

Customized Website & eCommerce for Authorized Users Only

We configured the Odoo website and eCommerce modules to restrict access to products and pricing, making them visible only to authorized users. Using user groups and custom access rules, we ensured that visitors who are not logged in cannot view any product details, prices, or place orders. Once logged in, users can only see the product list and pricing assigned to their specific dealer group, they cannot view products or prices from other groups.

Simple Ordering Process for Dealers

Dealers can log in and browse products on the website just like a standard online store. All orders are fully integrated with Odoo’s Sales and Inventory modules. Allowing the back office to track and manage orders in real time.

Daily Stock Updates from Shipping Provider's Warehouse

Daily inventory report from a third-party warehouse each morning. Their internal team can upload this data into Odoo using Excel or CSV files directly via the Inventory module. We helped design a clear and practical import structure, including product field mapping to ensure that daily updates can be completed quickly without the need for extensive data cleanup or manual adjustments.

Custom Pricing and Delivery Options Based on Customer Type

We configured the system to support different product prices and shipping fees based on the type of customer and delivery method. For example, dealers in different regions may receive different pricing tiers or discounts, and they can choose between standard or express delivery each with its own rate.

🎯 Suggested Headline Options:

Implementing the Odoo system for this auto parts business not only made B2B selling easier, but also improved internal operations and overall workflow:

🔹 Reduced time spent on communication between sales staff and dealers

Previously, dealers had to call or message the sales team to check prices, stock availability, or order status. Now, they can simply log in to the system and access all the information they need in real time, without relying on manual communication.

🔹 Avoid mistakes from manual order-taking

Receiving orders through the website helps reduce the risks of typing mistakes, miscommunication, or misunderstandings. All of which are common with handwritten or verbally placed orders.

🔹 More organized and traceable data updates

Even though stock updates are done manually, uploading inventory data into Odoo keeps everything well-organized and easy to track. Every update is recorded and can be reviewed later if needed.

A Smarter System, Built for Growth

Through this implementation, it’s clear that Odoo has helped bring more structure and clarity to the business processes. From order handling and stock updates to customer management and sales reporting. Switching to an integrated system like Odoo is not just a platform upgrade, it's a strategic foundation for long-term B2B success.
